Board of Director’s Meeting Minutes
Monday February 15th, 2021
Attendees: Doug Pilcher, Alex Dreiling, Jim McCall, Rick Crow, Dave Dupre, Primo Rivera, Toby Silhavy, Amanda Darling, Gale Vasquez - Absent, Jacques Telles, Michael Hobson, Oliver Soto, Manrico Mincuzzi, Adi Kochav
Doug has asked all the following members to lead the following committees and they have all each accepted the positions. Ty Lyman - ISC Chair; Rich Whitlow - Newsletter Editor; Primo Riviera - Chief Judge. Doug would like to thank all for their participation and help.
Lifetime membership proposals have been presented for Mike Karnes and Phil Vance. Board unanimously approved.
Primo stated that the IJS for 2021 with it being online and not knowing the outcome the class ended up being a huge success. We had 65 total attendees both days. Now the people that attended the class will be going back to their respective regions to teach. Primo added he will be helping Oliver with his class in Latin America.
Doug received a large amount of IMAC property from Mikes Family. Special thanks to Alan Batts for handling and picking up the property and shipping it. The membership card printer and where Mike left off with the cards is deeming to be a timely task. The remaining swag merchandise has been put back into the swag inventory. The Board approved an AMA brick to be placed at AMA HQ and presented at the 2021 NATS.
The World 2022 to be held in Italy had to be postponed due to Covid last year. Alex mentioned a whole new proposal was being requested by the previous BOD. Manrico stated due to the postponement and maybe needing to move the event to a new location due to the NAC and FAI in Europe. Michael made a motion that we reopen the proposals for hosting the 2024 worlds and they need to be detailed and submitted by 30 Jun 2021 and we will address the issue at the July BOD Meeting. This would include location, staff, approvals from national authorities and a detailed plan. Seconded by Alex. There was no opposition.
Doug stated we are approaching the end of our remaining time with Roy and that we need to make sure the new website is live by the springtime. Doug asked the BOD for anyone who can help with transcribing the older articles to the new format.
Transfer Bank Account Update/Treasurers Report
The new Bank of America account has been opened now and Jim has begun migrating all the expenses to the new account. Most of the money from PayPal and Wells Fargo has now been transferred to the new account. Jim also stated that he was able to add Doug and Alex as authorized users on the BOFA and PayPal as well. Jim stated dues are now coming in again and expenses can go out.
Regional Updates/Issues
Asia Pacific - Contests are being scheduled for 2021.
NE - scheduling contests for 2021 and 4 in Canada are up in the air. Brad will be doing a judging school in May online.
NC - 2 judging schools will be held in April and they will all be virtual. Other schools may be held. Mike Karnes kickoff will be in May.
NW - 14 events scheduled, judging school to be held in March. (Report given by Rick Crow as Gale was Absent)
SW - 15 contests are scheduled so far; 1st contest will be held in February and hopefully all will take place. Judging school will take place in June or July.
SC - 13 contests have been scheduled with a boot camp on 6 Mar judging school 20 Mar and season opener 27 Mar in Odessa.
SE - 8 of 11 contests have been scheduled for 2021, CD’s will have authority to have contests pending COVID. School will be setup in the future.
Europe - Online training is ongoing in several countries. Covid issues remain.
LA - A small gathering of pilots will occur for a boot camp this coming weekend. One contest is scheduled for Mexico in May. Online judging schools are happening.

· Presidential Appointees
o Doug has asked Adi Kochav to continue as International Liaison and Adi has accepted to continue for IMAC. Adi has done an excellent job and we look forward to his continuing on. As part of this Doug recommended that Adi be added to the BOD Forum on the website to keep him up to date with discussions and plans. He would not have voting rights, however. A motion was made by Michael Hobson and seconded by Gale Vazquez to allow this. A vote was taken and without objection this was adopted.
o Doug has also asked Phil Vance to be the IMAC Historian and Phil has accepted. This being a new appointment within IMAC. Phil has a long history of service to IMAC and his acceptance is appreciated.
o There will be other Appointees forthcoming.
· 2021 International Judging School
o Primo and Alex have been assembling a group of instructors to present at IJS.
o Assignments have been given out to instructors for this event.
o All Regions were asked to ensure attendance at this event and to make sure everyone attending is a current member.
o All instructors were asked to host a class within their regions.
o Virtual schools were encouraged as well in this COVID environment.
· Mike Karnes Memorial Items
o Doug suggested the 2021 NATS be renamed to the Mike Karnes Memorial NATS. Trophies would have the Mike Karnes name engraved on them. There was no opposition to this suggestion.
o Toby will be CD of Mikes annual event May 15th and 16th at the AMA fields in Muncie. Toby suggested that all proceeds from the event be donated to Mike’s Family along with a dedication ceremony. A memorial album will be developed to give to the family members along with a picture display at the event. The last airplane Mike flew will also be flown at the event.
o Doug mentioned items that had been discussed in a BOD forum about Mike’s passing. One suggestion made was that the IMAC donate a brick at the Walk of Fame at AMA HQ. Toby suggested we do this during the NATS. The forum post suggested an amount of $500. This was tabled until next month for further discussion.
o Doug also said that the AMA will also be putting an article in Model Aviation.
o The GoFundMe set up by Alex for Mike’s widow, was at $5100 so far, this is to help the family with final expenses. Rick attempted to make contact with Jim Graham to see if we could publish something on Flying Giants to draw attention to the campaign.
o Doug is working on retrieving the IMAC items from the family and has made arrangements for that as soon as the family is ready. Alan Batts will pick up those items at the appropriate time.
· Transfer of Accounts.
o Jim attempted to transfer the existing account with Wells Fargo and ran into issues with that transfer, so he went to Bank of America in Arizona and we have been approved for an account and waiting on account and instruments for the account for transfer from Wells Fargo to BoA.
· Budget Presented and Approved for 2021
o International fees for mass registration will still be $20.00.
o Primo made a motion we approve the budget as presented, Gale seconded the motion, and it was unanimously approved.
Website Update
o Doug shared the URL for the new website for the BOD to see.
o Every attempt to preserve the history of the website during this transition.
o Dan Carroll is continuing to work on the updated website and has made great progress and we are looking forward to an early Spring debut for the new website.
o Discussion was had on how much this has cost Dan in software modules that he has purchased and we will reimburse him for these expenses.
· Treasurers Report

o Rick made a motion and Toby made a second that we approve the Treasurers Report as given, all agreed.
· Regional Reports
o North East – Dave Dupre
New location for NE Regionals in NY.
Working with CD’s on contests for 2021
o South East – Primo Rivera
CD’s need to provide all necessary information for a contest to be approved.
5 contests already scheduled.
o South Central – Amanda Darling
7 contests scheduled.
Judging school is setup with 13 signed up.
Boot camp setup as well.
Amanda has already sold $60.00 of SWAG items Doug had given her to sell.
o North West – Gale Vasquez
8 contests setup.
Judging school setup.
Border is still closed.
o South West – Jacques Telles
9 contests so far on the schedule.
SW vs SC scheduled and looking forward to that event.
East Valley Aviators is going through an issue and will be relocating in the future.
o Asia Pacific – Michael Hobson
20-30 events are in planning.
COVID is not at present an issue.
o Europe – Manrico Mincuzzi
Europe is still in lockdown, but contests are being scheduled 3-6 so far
France and Spain are completely locked down.
Italy will have 100 pilots signed are signed up.
o Latin America – Oliver Soto
Online judging school will be held for Brazil.
Mexico and Chile finals were held.
Argentina has now joined IMAC.
Mass registration is being used extensively in Latin America.
o North Central – Toby Silhavy
Mike Karnes contest in Muncie will start the season on 15-16 May.
Judging School may be held virtually to avoid COVID complications.
CD’s required to have all information prior to event approval.
COVD guidelines will be implemented.
Committed to a full season.
Regionals will be at Toledo Weak Signals Club
COVID will complicate Canadians Travel to the US
We will need to address regional points if the border stays closed.
Recommend the 3 northern regions align on a strategy for handling this issue.

IJS 2021 Update – Primo Rivera and Alex Dreiling
The dates for the IJS 2021 are January 23-24, 2021. The scheduled times is 9:30 a.m. – 2:00 p.m. CST. Primo and Alex need a list from the RDs on the instructors they have lined up to attend. They would like to have at least 5 from each region. Alex said they will post these dates to the calendars. The plan is to use the Go-To-Meeting software. The plan is to focus on teaching how to teach.
Transfer of Accounting – Phil Vance and Jim McCall
Jim has gone to Bank of America and Wells Fargo about either transferring the account with Wells Fargo or starting a new account with Bank of America. Bank of America will want a tax-exempt letter from the IRS or a notarized letterhead from IMAC BOD stating their non-for-profit status. To transfer on Wells Fargo, they will still need an notarized letter from the IMAC BOD to transfer from North Carolina to Arizona.
Phil suggest that Wells Fargo is the easiest way to go. Either bank works for Jim. Doug suggests staying with Wells Fargo. Jim will check to see if they can get electronic signatures.
Website Update – Doug Pilcher
Doug has been having trouble getting a hold of Dan Carroll until today, due to family leave. There are two (2) new virtual machines setup as of today on the new IMAC server that will be hosted by Diamond Computers. One is for preproduction and one is where the hosted site will be. The tunnels are created for Dan to log in to control these virtual machines on the server. Dan is still working on putting the backbone together with Joomla.
Swag Store Closeout – Doug Pilcher
The items were posted with some Facebook pushes. The only thing left is regional license plates; all but 4 red hats are gone; and Mike still has blue/tan hats. What little is left, will be sent to the RDs to see if they can be cold at their regional contests in 2021.

Phil reiterated that RDs have money left in their regional account and they did not use any of the IMAC budgeted money for the regions in 2020.

October BOD Meeting Minutes – Samantha McKinney
Samantha has emailed the October 2020 BOD Meeting minutes to the BOD. The BOD approved and Samantha will publish them to the website.
IJS 2021 Update – Alex Dreiling/Primo Rivera
Doug, Primo, and Alex are going to get together on December 5th to discuss IJS. Primo is working on the flyer, with Bill Daniels help. Bill is a new ARD for Florida.
Before the event, they are going to try the Go-To-Meeting software to make sure it can host around 50 people. The plan is not to have a full school; mainly just focusing on what would be the Friday portion for the teachers. They have a list of instructors that have volunteered.
Michael asked what the time frame is for the International region can plan according. These details have not been discussed yet, but Doug mentioned possibly having 2 schools to be able to accommodate the International region. Michael suggested using the same instructors for both schools to keep it consistent. Michael has a list of suggestions and will get them to Doug and Alex.
NATs Update – Rich Whitlow
The current date for the 2021 NATs is June 16th-19th. One of the concerns is that in some regions the students won’t be out of school yet. The NW region isn’t out until the middle of June. The NATs meeting is pushed to tomorrow night. As of right now, Rich doesn’t know if he can commit to be director for the 2021 NATs. Doug will post an update about the NATs to the BOD forum.
BOD Migration of Duties/Training – Doug Pilcher
Doug reminded the outgoing BOD to get with the incoming BOD to get them familiarized with their new positions.
Doug asked the outgoing and incoming BOD about getting members for the Sequence Committee.
Website Update – Doug Pilcher
The website is currently on hold. Dan has been focusing on working on the back end of the website.
Rich recommended that we make a contract with Diamond Computers and set a fee for the equipment that IMAC will be using for the website. Doug said that he is not looking to make money. He has ordered 2 extra servers for the IMAC website. Doug thinks we need to get a comparative rate commercially.
Currently, our current webmaster still has physical control of the website and server. When its migrated, it will be moved to Diamond Computers. The dns will get changed from North Carolina to Texas, which happens in a matter of minutes. Doug will do the hardware maintenance and any server and band width maintenance.
Dan will be the new webmaster. He has made it clear that his life might change and we need to look for other people capable of website development, which is why the new website will be open-source software.
Swag Store – Doug Pilcher
Doug will be speaking with the RDs to get them their region’s merchandise from the Swag Store to be sold locally. An inventory of each region will be kept on a spreadsheet. Doug would like to get all the inventory sold and shut the swag store down.

Regional Issues – All RDs
There isn’t much going on in the NE region. Brad is waiting to turn it over to Dave and work on next year’s schedule.
Samantha read Primo’s update to the BOD. The regional championship was an amazing event; lots of wind, great flying, and the club treated us like royalty. They did get 4 new members. They are also doing an IMAC demo this coming weekend.
The NC region is pretty well worked out for 2021. Toby said that they were waiting to see when the NATs were scheduled. They have come up with a contest packet that will be sent to each contest director ahead of their contest.
The SC region had a great regional final. They did give out some awards for regionals points. Rich and Amanda go a quick jump on the 2021 schedule, with 4 contests that aren’t scheduled. The incoming RD, Amanda, is very energetic and has the judging school booked. They are thinking about having aerobatic fun days again to let them experience both disciplines.
The NW region report was given by Gale Vasquez. There was a couple of contests this season with 6-8 pilots due to Covid-19. The Canadians held a couple of contests. The borders are closed at least till January. There were no regional finals or trophies.
The SW region has their regional finals this weekend. There is currently 35-40 pilots signed up. The pilots are social distancing and moral is pretty high right now.
The Latin American region report was given by Oliver Soto. Jorge and Adi are working on mass registrations. There are 2 contests coming up, Santiago, Chile and one in Mexico. They are working on the judging schools. The camps are being pushed back a couple of months.
The Asia Pacific regions is doing pretty good. Michael reported that Australia is doing well. Their year is finished. There won’t be much activity until January. The ASAA should be putting out their calendar within the next few weeks. There are 20-25 events across the country. Michael is encouraging everyone to work on the judging. The government has shut the borders down in some states.
The European region report was given by Adi Kochav. There is a big situation with Covid-19 in Europe. Italy, France, Switzerland, and England have shut down. There won’t be contests for the next month or two. Israel did have their nationals and there were 18 pilots, with 3 novice. It was a very good turnout. They got very good feedback from all the parent and kids. Next year, it will be an international contest. They have already spoken to several in different cities to use their facilities.
